The fiollowing actions need to be taken by Dragonboat stakeholders to set up and complete dragonboat event creation and entry.

Initial Login

To login to Smartspace to create and manage entries for this event, simply use your normal login details.

If you have forgotten your logins, navigate to your smarrtspace page aand click the forgot logins link in the login panel

Alternatively, click the small "S" tab at the top of this page and click the forgot password link that appears there.

If the person who is to create these entries does not have access to the Smartspace system, a Club Administrator with an access level of 4 or more, or a Club Manager can grant access to anyone in the club database

States/Clubs Action Plan

1. Set up Category Types
   • This is needed only if a club or association wants to accept nominations online from their members (administrators can nominate them without the members having to do so)

2. Initial Team Entry
   • Entrants nominate the races in which they will participate (no paddlers at this stage)
   • You will need to complete your Initial team entry prior to making a submission to enter the regatta.

3. View Entry Matrix
   • All clubs and associations can view in real time the current state of team entry
   • The matrix listing gives you every entrant from across Australia (except the state of Victoria)
   • View a short video on the need to scroll the screen when viewing the matrix for some race days

4. Complete Combined Team Entry
   • At a predetermined date, all entrants will have to enter the paddlers into the system
   • Note that this stage needs to be completed by a day before racing
   • Note that the total number of entries must match your account payment.

5. Entrant Team Submissions
   • Club Entry Submissions can now be made without putting paddlers into the entry form
   • Please note that this stage needs to be completed by Saturday February 14 2015

6. Offline Payment
   • Entrants are provided with an account with payment details
   • You (the club or state association) make your payment as instructed in the account you receive once you have completed your entry submission
7. Get ticket for extra guests to the After Party
   • This applies only to those who have not purchased Multi Day passes (Multi Day pass holders already get a ticket as part of their payment)
   • This is a separate process to Teams Entry
   • You should only purchase tickets for the After Party after your have entered your teams and process your account.
   • Clubs should nominate one person to purchase all tickets for the After Party for these people
   • Use your Smartspace logins when purchasing tickets
   • Please note that when processing the payments, apply discounts for children 12 and under as with race entries.

Aus DBF Plan Of Action - For AUSdbf Only

1. Set up Group Division lists
   • This sets up all the races that will be held over the period of the regatta
   • A separate list needs to be created for each day's events
   • This process has been completed
2. Set up the event
   • The event will consist of five separate days event instances
   • Each will have a similar but slightly different configuration
   • Configuration for the test event completed
3. Complete the Payment Settings
   • The payment settings allow clubs and associations to generate accounts to be paid directly to Aus DBF
   • Directions for the test event have been completed. No amounts are payable for the test event.
4. Grant the organisers access
   • Aus DBF will have to grant the organisers of the event access to the Aus DBF system to be able to fully manage the event
5. Manage Payments
   • Payments can be managed by an Aus DBF official
   • This video shows to to manage entries including managing payments
6. Possible Sample Letter
   • Aus DBF could create a sample letter that clubs/associations could edit to send to paddlers (should they choose)
