Improvements and New Features

  • Booking System Improvements
    • Many recent features nominally available in Bookings and Groups configurations have now been implemented
    • Manage any services that have been created from Online Bookings and/or enquiries
    • Add  or delete services under the booking or enquiry
    • Edit any service including the management of the number of people using the service
    • Booking prices are now accurate upon booking update
    • A bug which was evident when confirming a booking under some circumstances is now fixed
    • All the services are now accurately priced when viewing in the services page
    • Email nofifications to both enquirer and website have now been activated
    • Some potential conflicts between different price settings and group and booking configurations have been resolved
    • The default page for the Booking Pane is now the booking details page
    • Future versions will allow user configuration of this value
    • Some small changes have been made to the Booing management interface to take away some unwanted useless information which can apply to other categories of services
    • Some small changes made to the Booking Resource management page to bring it into line with other management pages both procedurally and style wise
    • A couple of extra features will be added in the new year to complete this version of the system
  • Improvements to Reports tools
    • When saving reports, some report formats also allow exporting the same report
    • So far the formats that are supported are:
      • Groups: Group Statistics (Summary and Detailed)
      • Groups: Individual Count
    • More formats will be added over time

    • Membership discounts now work effectively for all forms of products.
    • Membership Discounts apply when Membership purchase has been placed in the current Shopping Basket
  • Membership Purchase system improved
    • Membership purchases are now fully integrated with any live shopping bakset
    • When the Memebrship purchase is made, all discounts are applied on the first update after the placement of the membership in the basket

Bug Fixes

  • Product Names with apostrophes were not being saved successfully into the shopping basket
    • This is a similar problem that has occurred with a number of queries as a result of the change in server 12 months ago - now fixed
  • In some circumstances, the marking of a network membership as processed was being "unprocessed" without the administrators input
    • Whilst the problem could not be specifically identified, a change of code should prevent this from happening again

Improvements and New Features

  • Greater Integration of Individual values into Bulk Emails (html only)
    • A set of placeholders is now available to insert personalised information into bulk html emails
    • You can insert the following information into HTML emails wherever they are required according to your individual email design
      • Personal salutation
      • Login details
      • Group reference details
      • Join a Group link
      • Unsubscribe link
  • Added configuration for Groups
    • You can now add a message and upload a file when entering a group
    • Useful for group instances eg Job Listings
    • Link to File upload and message appears in the management interface as well as being sent to website manager via email
  • New Settings available for Invitations Group Category
    • All groups in this category become invitation lists
    • These lists when first saved do not save any Quantities for each record
      • Each record is saved as an Invite
      • Quantities and status are reset either manually or by one of the listings responding to a special link online
    • These links can be sent in individualised emails for recipients to respond and mark as attending or not
    • You can set the maximum number that are able to attend with each invitee
    • The status and number of attendees are adjusted as required when an invitee responds online
      • If a invitee responds negatively, it is marked as a No
      • This can also be done manually
  • Website Frameworks now aligned for features
    • All frameworks can now select a range of feature widgets and configure them
    • This only applies to frameworks where feature widgets are available (most frameworks)
    • An added feature widget (Text beside images) is also now available

Bug Fixes

  • Website description was not showing character count in the General Trader Settings as it should have - now fixed
  • Systems administrators were not always seeing their full quota of networked websites - should now see all, all of the time
  • Confusing terminology for the number of record returned as a sub menu in Main Menu Configuration - now clearly described what is returned
  • Security hole in Articles editing where articles from other websites could be viewed in some circumstances - can now only edit the website's own articles
  • Upgrading of website subscriptions was not working properly - the config file was not being updated when an upgrade took place - now works
  • Saving/Updating Custom Contact forms would not process in some legitmate circumstances where an Email From field was not available
    • An Email From field needs to be available in most circumstances but not all - this has now been rectified
    • In some circumstances, not all selections were available when first saving the form fields even though they did appear when updating - now fixed

New Features and Improvements

  • Membership Benefits now integrated with the E-Store
    • The membership benefits system is now fully integrated with store pricing and price displays
    • Benefits can be a percentage of a product price or an absolute value
    • Discounts are currently taken off the current price
    • Future updates will check for specials and allow configuration on treatment of specials and membership benefits
    • When used with the membership system, website owners can now provide unlimited levels of benefits
    • With each membership level, benefits can be configured to apply to all or any products either globally, or by category or individually
    • To ensure that prices are always correct when a purchase is made, the shopping basket checks for prices each time the basket is opened or updated
  • Graphic Templates Module now operating fully
    • Version 1 of the Graphic Templates module is now fully operational
    • This module allows web users to apply text and simple graphics to available E-Store products
    • Each Template can be configured in numerous ways to ensure a completely custom text or graphic can be added to products
    • A preview of the graphic is available in real time on the website and a PDF is created of the final product
    • The version allows website uploaded images and standard fonts to te used, but currently does not allow for user uploaded images (coming soon)
    • The module is currently ideal for makers of rubber stamps, and other promotional items where custom text is written on to a product
    • Custom Colour Options are attached to each product separately to allow for individualisation of each product and for accurate inventory management if required
  • Duplicate Checking on Registration/Membership Page
    • When those in the membership system need to update or purchase membership, duplicate checks now take place
    • Users can either ignore possible duplicates or mark one to send login details to the email address listed
    • A minor bug in new record processing has been fixed - the thread of the process was partially lost when passwords were not entered correctly - now fixed
    • Processing for administrators is now also more robust
    • In certain circumstances, a "lost thread" message would appear after processing - the likelihood of this happening now has been markedly reduced
  • New Javascript file
    • A lot of javascript functions have now been removed as online scripts and placed in a new external file
    • This should speed up page download times after the first page visit
    • This should also help with code maintenance
  • New Delivery Zones available for E-Store
    • Now you can set delivery options based on Delivery Zones and the number and type of items in the Shopping Basket
    • You can configure the Delivery Zone feature to calculate delivery based on a number of variables:
      • Whether or not there are "large" and "small" items
      • If the Shopping Basket value reaches a certain limit
      • If the total Delivery Cost reaches a certain limit
      • If the total number of items in the basket (with a delivery cost) reaches up to 5 different plateaus, delivery can be discounted accordingly
    • All delivery costs are calculated according to a Base Value
    • You can setup unlimited number of Delivery Zones
      • Each Zone had a multiplier which affects the cost of delivery
      • You can differentiate delivery costs between large and small items across different delivery zones
    • Each Product also has a Delivery Multiplier so that different product attract different delivery rates
    • Delivery is recalculated each time something is added to the Basket or if the Basket is opened or updated
  • Pagenames for Products now fully implemented (following an earlier limited release)
    • Names nearly every element of an E-Store
      • Products (page: products/)
      • Product Categories (page: catalogue-c/)
      • Product Sub Categories  (page: catalogue-sc/)
      • Brands (page: catalogue-b/)
      • Brand Categories (page: catalogue-bc/)
    • The Pagenames are auto-generated when used in the Frameworks manager
    • All Pagenames are checked for uniqueness before being saved
    • Pagenames must be alphanumeric only with at least one letter of the alphabet in the Pagename string (cannot be all numbers)
    • When an old address is used and a new Pagename address is available, the system will automatically redirect to the new URL
    • Search engines are given instructions that the change is permanent so that old URLs will eventually filter out of the system
    • If you have old URLs coded into articles and other manually generated links, it would be better if they could be changed, but it is not essential
    • It is possible to customise Product Pagenames as it is normally generated with the category name as well as the Product Pagename
      • Because the Category Pagename is not used for the database query, any relevant name could be used when manually coding page URLs
      • This may be used for SEO in some circumstances
      • Use this feature with caution as it may appear to search engines that you have duplicate content thus diluting the value of the page

    • Registration was not successful in some circumstances

Bug Fixes

  • Deleted records were affecting the status of current records (including reports) where duplicates had previously existed - now fixed
  • Some Smartspace account settings were inadvertently deleted causing problems for site account payments - now fixed
    • This was part of another problem where updating of the Smartspace Payment Settings record was being updated inadvertently, corrupting the record - also fixed
  • Whilst Usernames and Passwords were checked for white space at the start and end of the text, they were not checked when updating passwords - now fixed
  • Apostrophes were causing problems when updating and managing attached article pictures and also Group names - now fixed
    • Please note if this is causing problems in processing for you - changes in server a few months ago meant that many form  (~200) processes were updated but some were missed - please advise if you have noticed this problem in forms you have processed
  • Since switching Mail Servers, there has been intermittent problems with sending of mail via the internal mail system (contact forms, sending receipts, etc) - new settings have solved these problems

New Features and Improvements

  • Contact Forms Now Record Contact Details
    • Custom Contact Forms can be configured to align nominated fields  with Individual database records
    • When the Custom Contact form is processed, it searches the Smartspace database to find duplicate records
    • If none are found, the record is saved, otherwise a report on similar records is emailed to the contact target
  • New Registration/Login widget attached to Custom Forms
    • The system can now also be configured to allow logging in or registering at the same time as filling out a form
    • The system presents different fields depending on your login status
    • If you are logged in, it gives you the chance to edit some basic details (name and email address)
    • If you are not logged in it gives you the chance to login whilst submitting the form or
    • Allows the visitor to register for the first time
    • At this stage it does not check for duplicate records if registering
    • It does check the visitors email address if logging in and re presents the form if it is empty or not valid
  • Improvements in Framework System
    • The system has been reviewed to ensure duplicate records cannot be created for any one framework
    • All panels are now saved for each framework
    • Activate or otherwise during editing process
      • A new feature widget - Content Preview Description is now available
      • Uses images and the content description to render selected content from multiple categories
  • Improvements to Travelscape Framework
    • Feature Panels can now be fully configured
    • 2 Feature Panels active
    • The first panel must use the Separated Content (from images) widget, but the second feature panel is fully configurable
  • Change to Standard Reports page
    • Changes have been made to make Standard reports more usable, especially where the Membership Module is subscribed to
      • Standard reports, where traders have the Membership Module, now need to nominate the scope of the report
        • Complete Database
        • Members Only
      • This removes redundant selections that can easily confuse users
      • When Complete Database is selected, the Membership Filters and Button are removed
      • When Membership is selected, the General Database button is removed and the Membership filters and button is reinstated
      • This does not change the way the filters work
    • Change in default status of some filters
      • In Database Filters, the default for Customers/Participants status has been changed to All (from Active)
      • In Membership Filters,  the default for Payment Status has been changed to All (from Paid Up To Date)
      • These changes will help remove some confusion that occurs when processing common reports
      • They do not change the way the reports system works
  • Improvements to the Smartspace Subscription/Accounts System
    • Now each module and the status of each module is recorded separately
    • Updating and renewing modules is now automated
    • Changes in modules and access from one subscription period to the next now takes place on the day of subscription renewal
    • Access to modules for advertised trial periods and for subscription periods is now automated
  • Improvements to Individualised Bulk Emailer
    • The sending of bulk emails sometimes resulted in significant numbers or failed attempts to send emails -sometimes as high as 50% of the total
    • New scripts now have reduced the connection load on mail servers and resulted in near perfect results with failed attempts now very rare
    • Scripts have also been cleaned up and/or rewritten for more trouble free execution
    • New standard settings ensure that Gmail and Hotmail/Live connections are handled as required by their proprietary owners
    • Smartspace is still using PHPMailer (a third party script) for the actual mail server connection and sending of these emails
  • New Support email address
    • Smartspace now has a dedicated support email address -  support @ smartspacehq.com (spaces inserted to prevent spam)

Bug Fixes

  • Communication password field was a plain text field - now changed to a password field
  • A couple of links from within the questionnaire creation system have been amended
  • When viewing Service Rules in the Database Manager, confusingly, a number of content categories were visible, now only Service Rules are visible
  • Another three frameworks have had the new page image structure changed for more flexible rendering of page images in different situations
    • One Space
    • Bright Cross
    • PicInfo
  • Posts in content categories that are ordered by numbers had unnumbered posts appearing in the archive - this does now NOT happen
  • The field which stored options for surveys/questionnaires (drop down lists or radio buttons) was configured incorrectly and only stored numbers (id's) up to 127 - now accepts much bigger numbers so it saves options as expected
  • Where multiple questionnaires were available in the Database Manager, if both were not started it would display incorrectly - now displays as expected
  • Multiple records were sometimes created when creating memberships
    • In certain circumstances extra files would be created
    • Other records would be also converted to the wrong dates
    • Extra checking is now in place to ensure that this cannot happen
  • Html files could not be uploaded though the file manager - they can now be uploaded
  • In networked systems a network message should be shown if a local message is not present - this now happens
  • Membership details were mistakenly appearing on the home page in membership only systems - now appearing in the Membership tab only

Bug Fixes

  • Top and Tail Framework should have defaulted to the category images before defaulting to the home page images when showing top and tail images - now it does
  • Content Page image in Big Ideas framework did not always appear as expected - now fixed
  • Simple report of current members under the Global heading was not working - fixed
  • Link to edit specific individual membership for Membership Report only opened onto the Individual Summary page - now opens to edit window
  • "Processing" feature for memberships in the Membership Summary report now works
  • The Opening Hours message was not being saved correctly when editing Opening Hours
  • The Bookings Menu in the bookings record interface was misbehaving - refresh your bookings page to enable the new settings to ensure it works as expected
  • The correct Service instances were not being shown in the Bookings pane - now fixed
  • The Cancel Booking and Booking No Show links in the booking menu were not recording accurately - they now work
  • Recent changes in saving individuals into  groups caused the Individual Id of the person not to be saved in some circumstances. This caused a problem when reporting - now fixed
  • The Groups report page had an extra element that could cause some problems when generating a report. Element has been removed and page is now  valid code

Improved Features

  • The Booking Reports page now offers greater report formats and other filters
    • Now report on individual books over a defined time period and show total hours booked
    • Filter reports to show bookings in each available resource separately
    • Bookings interface more user friendly with format selection now done with radio buttons instead of multiple form buttons
  • Four additional Report formats are now available in the Group Reports area
    • Report on the combined statistics of individuals for Group involvement during selected instances
    • Report on the individual details of Group involvement during selected instances
    • Print these reports to screen or save them for export in .csv files

New and Improved Features

  • E-Store Module
    • Product Colours have been implemented which allows a greater configuration of colours attached to products
      • Colour Lists can now be saved which allows adding one colour list to multiple products
      • Unlimited variations of colour can be saved especially where colours have textures or patterns attached
      • A color image can be attached to a colour for display along with the product
      • This image is shown in place of the colour when viewed with the product to allow textures and patterns to be shown
      • In the products area, a further image can be attached to a colour so that the image is viewed when the colour is clicked
    • The behavior of the Shopping Basket is configurable in the way that colours are selected
      • This includes simply clicking on a colour to select the product colour you want purchased
      • When a colour is selected a check is made on the sizes/styles available for that colour
      • Checks include whether or not there is enough inventory to cover the sale
      • A further check is made when the products are being added, just in case a multiple product purchase is more than  is available in inventory
      • Only the amount available will be added to the Shopping Basket when inventory does not meet demand
      • Styles and sizes can also be combined with colours to create a Colour/Style/Size matrix - now called Colour Options
    • Inventory can now be attached to each Colour Option and is adjusted on the sale of a product
      • If Colour Options are created, it automatically discontinues the use of the current simple inventory which is still available if options are not created
      • The trigger for this change is the selection of a Colour List in the Product setup.
      • This also disables styles and sizes - If a Colour List is attached to a Product, Colour Options must be attached to any styles/sizes available
    • Colours will always combine with every size and style and cannot be deleted, only disabled, if not required
      • Colours can be shown as clickable colour swatches when show with products
  • Groups Module
    • The Groups module can now handle a range of Group Profiles so that with each Group Category selected, the profile of the category determines the behavior of the system when it comes to Instances and Groups

  • Graphic Templates Module - New!
    • The development of the new Graphic Template module is almost completed
    • This system works with the new Colour Options system to enable users to add their own graphics and lettering to products available for sale

  • Custom Contact Forms
    • Create virtually any type of Contact Form and place them on your website
    • Create an unlimited number of Contact Forms
    • Select from three form layouts
    • Customise the send button with text or an image
    • Customise the target email on each form
    • Customise the presend and successful send messages
    • Include a Spam Fighter field if required
    • Decide what type of fields the form will generate (coming soon)
    • Align form fields with registration fields (coming soon)
    • Link directly to a custom form (coming soon)
    • All processing is done in page using AJAX
    • Embed any form or forms in a contents page with the Custom Code

Bug Fixes

  • When no PayPal header image was available in the Payment Settings, a text header was being sent causing havoc with the PayPal system (there is a bug in their system as well)
    • The code has now been fixed to prevent this from happening
  • The Shopping Basket was changing owner if website management did any work to someone's Shopping Basket
    • Now, the basket remains in the hands of the original owner if the website owner has the manage the Basket for any reason
  • When transferring a transaction to PayPal, the system would sometimes take some time to transfer.
    • Now a message appears to advise customers that the transfer is taking place and to wait.

  • Groups Module
    • Networked groups (eg sporting associations and their clubs) now have more power to create instances (usually events)
      • Network leader can now enable network members to create instances of their own in the leaders group category
        • Typically this would mean clubs could add events to a federation's competition calendar
        • The Network member decides when to submit the instance
        • The network leader then approves the instance at which point it is distributed to others in the network
        • All network members can then add groups to the instance, submit them and pay for them
        • The creator of the instance within the network is responsible for the management of the event, in the same way the network leader managers their events
      • Network entry accounts for these transactions have also been improved
        • A separate account is now created for each instance entry
        • There is now no chance of accounts being combined when payment either had been late in arriving or marked as being paid
  • Bulk Image Upload - Graphic Designers
    • The image upload tool now provides more guidance for sourcing directories
    • The tool now allows first level account from the root of the designer's main directory
    • Better error handling has been implemented

Bug Fixes

  • Custom Information (questionnaire/surveys) links were not all accurate - fixed
  • Not all links carried the Trader ID  which means session could be lost in some circumstances -now all do
  • Improved navigation between questionnaire elements for easier development/management
  • Pages could lose their website ID in rare circumstances when saving Custom Information - ID now retained
  • Issues with extremely large Combined Groups processing forms due to security settings
    • Setting have been adjusted to allow for large forms but to maintain security

Bug Fixes

  • Membership option pricing was not automatically getting correct prices in membership signup process - fixed
  • Price management - Carry Price Forward button now added to the top of the form to avoid confusion of needing to change form to proceed
  • Pagination of long lists of images in Albums now working as expected on consecutive pages (previous/next links)
  • When booking settings did not exist, it was causing a fatal error in some websites which do not have a the bookings module (in rare instances) - fixed
  • The send login feature (in the individual rego form and staff area was sometimes being rejected by the mail server - now seems to be working ok
  • There were some problems with the website registration. Should now be working fully
  • Apostrophes were causing problems in saving customer notes - now fixed
  • More apostrophe problems when first saving content posts (was ok on update) - now fixed
  • Overlay window was not opening when viewing website subscriptions - now working
  • Changes of primary clubs for networked systems was not being recorded correctly when they held a network membership - now fixed
