Major Upgrade and Server Change

In early September i decided that  the performance of the server was not up to scratch so decided to start looking for a new server provided, so that our promise of high performance could be delivered every day, not just most days.

So i decided to combine a scheduled version change with the server change. Here is the short version of what happened after 6 weeks of testing and after.

  • Switched from a single core server to a Linode quad core virtualised system
    • Currently running CentOS 6.2 on Linux with an Apache server and MySQL database and PHP 5.3
    • Daily system wide backups with an additional weekly backup
    • Hardware RAID for extra system data security
    • All DNS now handled by Linode DNS servers fro greater reliability
  • Rearrangement of the PHP code base to improve performance
    • Classes and functions have been rearranged to reduce the code weight on front end and backend functions
    • More specialised classes have been introduced to improve code efficiency
    • Code for special features now only accessed when needed
    • Code for frameworks changed to enable greater configuration of each framework
  • Review of all database tables
    • Tables reviewed to ensure all have appropriate indexing for optimal performance
    • Some changes to field types and size for improved preformance
  • Change in Site Structure
    • 99% of code base now in inaccessible directories
    • Separation in serving of static and dynamic content
    • Separation in serving of back end and front end
  • Some terminology and back end navigation changes
    • All individual registration management, membership and groups management now handled by the Database Manager (formerly Membership or Customer Manager)
    • Back end menus now always appear on the left with slide down style submenus(see AJAX below)
    • Management of all aspects of site and module management now accessible using AJAX (see below)
    • Tabbed content areas also provide quick links to main management pages for each module
    • Action menus have been introduced into content manager (selecting a record activates the action menu for further selections)
  • Major introduction of AJAX into backend functions
    • All navigation menus now grouped in slide  down style submenus for greater accessibility
    • Most records now managed with AJAX in page processing for greatly improved processing times
    • Content manager now uses an action menu where selection of a content item now activates the action menu
    • Simple processing of records can now occur without leaving the list page
    • The action menu now allows better navigation between different  associated records of the primary record
  • Checking for duplicates of personal individual registration
    • When adding indivviduals into the database, the system checks for possible duplicates
    • A range of optiions are presented depending on status of duplciate and status of administrator
    • Special selections are available for networked systems
    • The following selections could be available where a possible duplicate is identified
      • Ignore  - record is not a possible duplicate
      • Combine - only available when editing records
      • Delete - deletes or archives the record depending on several factors
      • Switch - switch to the selected record
      • Request - available to networks to request record inclusion by database administrator
      • Invite - invite individual (registed in other smartspace systems) to register in yours
  • Now add all current members to the Combined Entry Form
    • Only available when first adding individuals to combined entry mode
    • Adds all current members if available
    • Simply select team entry as normal and update
    • Add further individuals through normal way

Improvements and Features

  • Vouchers activated for E-Store
    • Create unlimited custom vouchers for use by the E-Store - shopping basket
    • Name and code them as required
    • For now, vouchers only support absolute values (not percentages)
    • The voucher must be aligned with a specific E-Store product
    • The value of the voucher is aligned to the current price of the product
      • The voucher will deduct the amount from the actual price before tax processing
      • This may mean that the total voucher value is greater than the face value of the voucher depending on how you calculate your tax
      • The Voucher will apply each of the vouchers products when there is more than one of those products in the basket
    • Active dates can be setup for all vouchers so that you can predetermine the end of your offer
    • You must activate the Vouchers selection in Payment Settings before vouchers will apply
  • Groups Report
    • You now now filter on the Groups created date
      • Previously you could only filter on Group Instance dates
      • It will now return all those who are in Groups that were created before/after/between the dates specified
    • Now Custom Reports can be created in multi sheet files for ms excel produced in valid .xml format
      • A number of reports can effectively reside in the one file
      • Please note that custom reports may incur a report development fee
      • These reports are available in all report scope (not just groups)

    • Now send individualised bulk emails to

    • Global delete action now has warning before deletion
    • Will not allow selection of both sending and deleting as these actions can conflict
    • Now Create the name of a new group when sending
    • You do not have to have a Group Grade or Rank to transfer nominations to groups.
    • Now select to send all paid records to a selected group
  • Improvements to Staff Management
    • Network Managers can make their way back to the network centre  more easily in staff view
    • Now send logins to staff even when the staff person has already been saved from the Staff record interface.

    • These reports are also numbered for statistical purposes

    • Reports can be customised for each Trader and integrated seamlessly into standard report
    • Reports can be designed and generated for just about any aspect of data held by Smartspace
    • Reports can be screen reports or exported in .csv format
    • Fees may apply to the development of custom reports
  • Better Staff Access for Graphic Designers
    • Previous implementation hs been superceded by simpler designer login system
    • Now any staff member who has access to their own graphic designer website, now has equivalent access to all listed client websites
    • Designer must be listed as the designer in the client Trader record
  • Group Display now better reflects Instance Type
    • Icons shown now differ according to the type of group it is
    • EG Committee instances show fewer links than Event instances as many functions are redundant
  • Groups management improvements
    • Nomination quantity is now transferred to Groups
    • Groups quantity is now available in the Group management window
    • Groups quantity is now available in relevant reports

Bug Fixes

  • Ordering of Articles/Posts with replies was not correct.
    • Now ordering in order of last reply descending, otherwise if no replies, by last modification descending
  • Shopping Basket fixes
    • A recently introduced bug which prevented Smartspace license fees from being listed as expected is fixed
    • Fixed a couple of bugs in the basket system which did not show the correct setting in some unusual circumstances
    • Simple inventroy system was not returning the product id correctly on a sale meaning inventory numbers may not have been accurate
    • The email sent out as a result did not contain any real data as no id was available for data to be found
    • A delivery selection was not being forced when required meaning purchases could purchase without selecting a delivery option as required
  • Basic Framework was not showing articles correctly
    • New URL now renders page as it should
    • Archive page now also renders correctly as does pagination for multi page results
  • Some bugs recently introduced in the added functions for nominations have been fixed
  • Some Framework development  bugs fixed
  • Auto Source lists were not showing the correct selections in Framework management in some cases
  • Frameworks no longer require color selections to work fully (now all stylesheets are customised fully for each website)

New Features and Improvements

  • Individual groups display in the membership manager now more flexible
    • Previously only live groups were shown
    • Now filter groups display with a time based selection filter
    • Now click on any group to view complete group list
  • More improvements in the Groups module
    • Group categories with no groups in them are now displayed at the bottom of the page
    • Access existing groups through Create New Group link if required
    • Networked groups can now be submitted to network leader through group management window where no price code is attached
    • For networked systems network leader now shows submitted groups differently according to instance type
      • Events, teams and competition instances link to combined entry form
      • The remainder show indivual groups
      • Groups hierarchy is now searched via AJAX when getting lower level lists
    • Display in web pages of public groups has been improved
      • A list of groups is displayed with a simple expansion tool which show all the listings in that group
      • A new widget has been added to the menu system to produce a link to the list of all instances and to produce the instances in the sub menu if required
    • Listings in Nominations management system is now divided into processed and unprocessed lists
    • Add or view notes attached to each group in the group management window
      • Navigate to and from notes using a simple tab system for instant viewing
      • Changes to either or both notes and/or team listing get saved/updated when processing the group

Bug Fixes

  • Direct bookings were producing an out of hours error - now fixed
  • Recent changes to groups display were incorrectly displaying group categories at the wrong time - now fixed
  • Pending membership renewal was showing a minor error at the end of processing - now fixed
  • Some new bookings systems was recording time data in the wrong format, not showing the correct time values when editing a booking - now fixed
  • A couple of html end tags were being dropped by some systems (depending on modular setup) causing problems with rendering customer management page correctly - problem identified and fixed
  • Groups were being deactivated when transfers were being made to selected groups
  • A bug which allowed login with null values was supposed to be fixed months ago, however a bug has reappeared recently. This has now been firmly fixed so that there is no chance of a repeat.

Bug Fixes

  • My Activities Fixed
    • Previously, the My Activities link in the login panel was showing a large number of unrelated  records
    • Now My activities is a true reflection of bookings, groups, nominations, membership and accounts
  • Get logins for an email address (Forgot Password?)
    • Previously, where two or more people shared an email address, it would only send one login to the email address. This may not have been the correct login
    • Now choose from a list of people (that share the email address), to send the logins to
  • Shopping Basket Fixes
    • There some problems in some instances where more than the desired number of records were deleted
      • The problem was caused by a checking function which was deleting extra records in some circumstances
      • All records now are deleted as expected
    • Some Options (where applicable) were changing when the Basket was being updated.
      • All options now remain as selected
    • In some circumstances, when managing accounts, the correct selections for marking as paid were not showing correctly.
      • The correct selection now appears so that they can be processed as required.
    • In some cases where basket values were $0.00, the cart could not be processed successfully.
      • Now individual items can be marked as paid (even when $0.00) and when all are marked as paid, the account becomes completed
      • Sometimes $0.00 items could not be deleted - this is now rectified
      • This is important when the basket is used for the reservation/nomination feature in the groups module
      • The relevant reservation record is also marked as paid at the same time
    • Processing of PayPal payments was not  fully marking the account record on the automatic PayPal callback
      • All records are now be marked accurately along with associated records where necessary(bookings, reservations membership etc)
    • Link back to the originating website after PayPal payment processing was faulty
      • Was going to a bug riddled Smartspace page.
      • Now returns to the originating website account with a short thank you note.
    • PayPal and credit card icons confusing
      • The link from the PayPal and credit card image below the Pay Now button confused some people as it linked to a PayPal popup window - some people expected this icon to start payment processing
      • The Amex logo has been taken out (Amex is not accepted as standard) and the image now activates a special message on mouseover, informing purchasers about PayPal and their PayPal payment options
    • Alternate Payment Options
      • No alterntate payment options where on display when a visitor was not logged in - now shows special message.
  • Groups Management Page Fix
    • Position field is supposed to have 5 characters, only had 3 - fixed
  • Nomination transfer to groups
    • A bug was introduced recently which caused multiple tranfers(sends) to transfer the first person sent, mulitple times. Now sends each person correctly

Improvements - New Features

  • Improved Subscription system now implemented
    • A double opt in subscription now in place where required
    • The form required First Name, Second Name and Email
    • An email is sent on registration and the subscriber is asked to retrieve the email and click the link within 24 hours
    • The link takes the subscriber back to the website home page where an overlay message provides the status of the subscription
    • The email also provides the client with the login details and information they need should they want to change their details
    • If the client does not click the link, the subscription is not activated and the registration is removed within 48 hours
    • This system ensures a high quality of subscribers who will readily open mail from you.
    • The system can be used either with a link (which is contained in the widgets code) or via the subscription widget itself available for link panels
  • You can now style the contact/registration/shopping basket overlay page
    • Now add a custom stylesheet (css file) to create your own look and feel to these pages
    • At present, styling may also need to be done in the main css file as well
    • A help file will soon be published to detail the process
    • The generic CSS file will be used if the custom file is not available
    • Contact Smartspace if you wish to customise your overlay page
  • Improved processing of Nominations/Reservations
    • Cost of entry is now shown on the first nomination page
    • Record is highlighted if entry has already been made into one of the programs/events on the already entered list
    • The amount of the total amount of the nomination is shown on the final processing page (it is already in the shoppiing basket itself)
    • Account link on the last page now opens up in the original window(previously opened in same window
    • Use the class, "closego"  for the "a" tag if wanting links on the final page to open in the main window
  • For Graphic Designers - Start of new backend design and feature list
    • Now upload all website images via ftp onto your Smartspace server
    • Place them into the directories you want on your server
    • Go to the new "Transfer Files" item in the new Content Manager backend (only available at present to Graphic Designers)
    • Select the subdirectories you want to transfer, then, directory by directory, name the files and add captions etc as required
    • Transfers are completed within the page

  • New namespace for Albums
    • Use the graphics_ prefix to ensure those albums do not rename or resize images and only one version is stored
    • Ideal for all graphics where multiple sized images are not necessary

    • This provides unlimited albums which offer the same functionality (eg graphics_home, graphics_shop etc)
    • Works fully with the new File transfer system
  • Additional Features for Nomination process

  • Multiple Choice options in the Nomination process were not preselecting one value - now preselects the first value listed as default
  • Not really a bug - log outs from websites now stay on website - do not go to Smartspace HQ

Improvements - New Features

  • Greater Groups and Nominations functionality
    • Greater configuration of up to 3 optional questions

    • Express items no longer support 1 optional question(divisions and multiple entries can still be selected with express nominations)

    • Details of nominations can be edited on page - done without page reload
    • Nominations can now be sent to Groups/Teams including  Grading, Rank and Division selections
    • New Groups can be automatically created if an identical does not exist
  • Simple Inventory enabled in E-Store
    • Manage stock levels for sale on your website
    • Can be activated through Payment Settings (Will later be moved to Product Settings)
    • Manages Stock on hand, Pending Sales (for Alternate Payments) and Stock On Order
    • When enabling, stock can be added to the On Order field to automatically ensure items remain on sale
    • If no stock is on hand or on order, product becomes view only
    • Stock is adjusted automatically on purchase and payment
    • Items in Shopping Basket are checked  for stock status each time Basket is opened or updated
    • Website owner is emailed upon low or no stock
    • Currently does NOT support stock control for individual product options and colors - only by product
  • Improved Alternate Payment processing
    • A new message/alternate delivery field has been included in Alterntate Payment processing
    • Set a custom message at the top of the field
    • Custom message is sent with receipt and included when viewing shopping basket
    • Accounts now show a Due Date where appropriate

Bug Fixes

  • Content Categories were not updating if a space or non value was placed in the archive date field - will now ignore non values
  • In some cases, tax was being incorrrectly calculated for delivery in Shopping Basket - known issues have been solved
  • In some rare cases, tax was not being correctly calculated when items were first placed in cart - know bugs have been fixed
  • Changes to templating system have resulted in some widgets being unavailable on update - know cases have been rectified
  • Delivery was not being marked as paid when items being paid by Alternate Payments, were recorded by website owner
    • Delivery is now marked as paid when all items in the basket have been paid
  • Some modules were being automatically selected along with othe modules when a selected package already contained the required modules - known instances fixed
  • Some values were not being carried forward by the login panel during the nomination process - now fixed

Bug Fixes

  • Not quite a bug fix....
    • Directory listings have been discontinued for now
    • There were a number of minor problems in the system and it was not user friendly
    • Existing listings will continue to show if properly configured
    • Other more important issues are needed to be developed or fixed so this one goes for now
    • This change does not affect normal websites at all
  • Direct Payments in E-Stores
    • Although direct payments have been available for a couple of months in different areas of SmartSpace, they had not been implemented in E-Stores
    • They are now working correctly
    • You can add and/or delete further products to those already purchased, but those purchased cannot be deleted
    • The Subject line in the confirmation email was missing - now recitified
    • Some problems with marking direct payment records as being paid (manually) by website managers is now fixed
    • In a very small number of cases, redundant tax settings were interfering with proper processing, now rectified.
    • All redundant tax settings have been converted to the current format
    • When a price is not available, a buy now button would still appear in the preview(if configured). Now fixed to hide Buy Now
  • DNS Problems
    • When site owners were updating their general site details, their setting for using their own DNS was being lost. This is now fixed
    • All site which were previously going to a SmartSpace address in search engines are redirected using the 301 redirect

Improvements - New Features

  • Now create a dropdown menu in the main menu using a single article as the parent link
    • This enables you to avoid the archive page if required, but still show other relevant links in the sub menu
  • Add a caption to any uploaded image
    • Images that form part of public galleries can now add a separate caption in addition to the image name
    • If there is no caption, the caption shown will be the image name when in a public gallery
  • A new gallery format is available - Advanced Image List with filmstrip driver.
    • Similar to the basic thumbnail driven gallery by far more configurable in terms of look and feel
  • New CSS file system
    • All new template frameworks will now use their own dedicated css file, located in their own directory
    • The first step has been taken on the road to build an online CSS builder
    • Each site will, in theory, be able to manage their own CSS should they choose
    • The old "mysite.css" will no longer be used
    • Old template frameworks will be changed over to the new system over the next couple of months
  • SImplified favicon uploading
    • When uploading a favicon.ico, there is now no need to add extra data to allow it to upload
    • Just click the "Save Picture" button and it will automatically load and be shown in web browsers
  • More content elements are now identifiable for styling purposes
    • More fine grained control is now available over page styles
    • Each type of page can now be controlled using the one controlling element id.
    • This applies to Articles, Content Categories, Albums and Gallery
  • Improvements in E-Store
    • Specify if if you want product category and subcategory descriptions to appear on product preview pages  or not
    • Specify the size of the images to appear in product previews
      • Can be 100x100px, 200x100px or 400x400px (max size)
    • Viewing categories will now only show product previews - no subcategories
    • To view subcategories use the url form http://www.mywebsite/productpage.php?PSCId=100&view=subcats
    • A new widget has been created to directly link to a subcategory pages by using a catgeory Id
  • Another Content Category Style
    • A content category image link is now available
    • The image used will be any suitable image except a number 0
    • Currently the system self selects an image
    • The highest number will be selected first

Bug Fixes

  • Date manipulation functions in content editing were not working as expected - now fixed
  • Configuration for content category archives was not working fully in all templates - some bugs have now been fixed (please advise of more if found)
  • Some servers settings for reverse dns were not correct. (some emails from server to big providers were being bounced.  This has now been rectified. Please advise if emails bouncing when sent from server.
  • Content Category ordering should now always render correctly - previously  some archive configuration for ordering was incorrect.

Improvements

  • More features for Albums and Galleries
    • Pagename functionality similar to Content Categories and Articles is now available for Albums(see below)
    • Page title, page keywords and page description also similar to other seo content features also available
    • Like other SEO content features, the Enable Pagename selection must be made in the Content Preferences for the feature to work
    • Where there is a gallery menu for all galleries in any one gallery, the "live" gallery link can be now styled
    • SEO fields are not shown in the Album edit interface unless the "Public" selection is made
    • A separate background image image can now be set for a gallery where supported in addition to a linked image to the gallery in the gallery archive
  • SEO for Content Categories
    • Each content category can now be assigned a Page Name
    • Proposed names are check for uniqueness with all other categories and content in your system
    • Page description and page keywords for page metadata are now obtained from Content Category fields
    • Page description defaults to Website description if none is available
    • Page title has been improved for better SEO
    • The first page key word gets appended to the page title for a better defined title
    • Pages with old content category numbers are permanently redirected to the new page name
    • You do not need to change any automatically generated menu items, however, manually created links should be changed to the new page name
  • More in Content Categories
    • Websites which do not have the permanent domain name attached to them now use a more clear URL to ensure less errors whist working in the SmartSpace domain
    • Now determine whether or not you want to show your Content Category description on your archive webpages
    • New help file for Content Category configuration has been added
    • Archive links for Blog pages now can be shown - archive accessible by month and year

  • Image Upload
    • More checking has now been put in place to ensure your upload selections are what you really want
    • Confirmation of resizing options in case you failed to make the right selection

    • New namespace for buttons album - initial problems have now been fixed
  • New webmail software
    • Webmail users can now choose between the old "Roundcube" system or the new "Horde" client
    • Changing over from one to the other does not result in any loss of emails - everything should remain exactly the same
  • Products Configuration and Menus Improved
    • Now decide how many characters appear in the Title text in product preview (often limited real estate)
    • Now determine if you want the item description in the preview
    • Cart icon can now be changed by css
    • New widget for getting sale items and new products for Main Menu
  • DNS and SEO
    • Old SmartSpace addresses which are now converted to domain names can sometimes be recorded in search engines under the old SmartSpace address
    • SmartSpace now converts those address to the optimised version (if pagename is enabled) or other website domain address and permanently redirects them to the new address
    • This also ensures that any old ranking value is carried through to the new website domain address
